Partner Standards

Flaxur works with partners, suppliers, service providers, and collaborators who share our commitment to integrity, responsible conduct, and public benefit.

These Partner Standards set out what Flaxur expects from individuals and organisations who engage with us through programmes, projects, partnerships, procurement, events, or any other form of collaboration.
Core Expectations
Integrity and Ethical Conduct

Partners must act honestly and ethically in all interactions with Flaxur and stakeholders connected to Flaxur’s work. This includes:

  • Truthful communication and accurate representation of facts.
  • Ethical business practices and responsible decision-making.
  • Avoidance of misleading claims, misrepresentation, or exploitation.

Zero Tolerance for Fraud, Bribery, and Corruption

Flaxur does not tolerate fraud, bribery, corruption, facilitation payments, kickbacks, or any unethical inducements.

Partners must not:

  • Offer or accept bribes or improper benefits.
  • Request “tokens” to influence decisions, access, approvals, or selection.
  • Inflate invoices, submit false receipts, or misrepresent costs.
  • Divert programme resources for personal or unrelated use.

Conflicts of Interest

Partners must disclose any actual, potential, or perceived conflict of interest that could affect their work with Flaxur. Examples include:

  • Financial interests in suppliers, contractors, or beneficiaries.
  • Personal relationships that could influence selection or approvals.
  • Involvement in activities that compromise impartiality.

Flaxur may require measures such as recusal, additional oversight, or changes to roles where conflicts exist.

Respect, Professional Conduct, and Non-Discrimination

Partners must treat all individuals with respect and professionalism. Flaxur expects:

  • Fair treatment of participants, communities, and stakeholders.
  • Non-discrimination in recruitment, selection, service delivery, or engagement.
  • Behaviour that supports dignity, inclusion, and safety.

Harassment, intimidation, exploitation, or abusive conduct is not acceptable.

Safeguarding and Duty of Care

Where partners work with young people, vulnerable individuals, or community groups, partners must:

  • Prioritise safety and wellbeing.
  • Maintain appropriate safeguarding measures.
  • Report safeguarding concerns promptly.
  • Ensure activities are delivered responsibly and with informed consent.

Flaxur may request evidence of safeguarding arrangements depending on the nature of the partnership.

Data Protection, Confidentiality, and Responsible Use of Information

Partners must handle information responsibly, including personal data and confidential programme information. Partners are expected to:

  • Use data only for the agreed purpose.
  • Protect data from unauthorised access, loss, or disclosure.
  • Avoid sharing personal data without a lawful basis or consent.
  • Maintain confidentiality where required.

Partners must comply with applicable data protection requirements and align with Flaxur’s published privacy and data protection policies when relevant.

Transparency in Reporting, Costs, and Documentation

Flaxur expects clear, accurate, and timely reporting where reporting is part of the engagement. Partners must:

  • Maintain proper records related to deliverables and expenditure.
  • Provide documentation that supports claims, costs, or performance reports.
  • Avoid duplicate billing or undisclosed mark-ups.
  • Disclose funding received from Flaxur and how it was applied, where applicable.

Procurement and Supplier Expectations
Responsible Communications and Brand Use

Partners must not communicate on behalf of Flaxur without approval. This includes:

  • Using Flaxur’s name, logo, or brand assets only with permission.
  • Avoiding announcements that imply endorsement where none exists.
  • Ensuring any public communications are accurate and do not mislead.

Where required, Flaxur will provide branding or communications guidance.

Procurement and Supplier Expectations

Where Flaxur engages suppliers or service providers, we expect:

  • Fair and transparent pricing.
  • Clear scope, deliverables, and timelines.
  • Lawful operations and ethical sourcing practices where relevant.
  • Non-collusion in RFQs or tenders.
  • Accurate invoicing and supporting documentation.

Flaxur reserves the right to request references, documentation, or due diligence information before engagement.

Consequences of Breach

Where these standards are not met, Flaxur may take actions such as:

  • Requesting corrective action.
  • Suspending or terminating an engagement.
  • Withholding or recovering funds where applicable.
  • Excluding an organisation or individual from future opportunities.
  • Escalating matters through governance channels.
  • Reporting to relevant authorities where required.

Actions taken will be proportionate to the risk, severity, and impact of the breach.

Reporting Concerns

We encourage early reporting of concerns, including suspected misconduct, misuse of resources, fraud, corruption, safeguarding risks, or serious breaches of these standards.
